Refund & Cancellation Policy

1. Overview

This Refund and Cancellation Policy applies to all subscriptions purchased for Vaidant. By subscribing to the platform, you agree to the terms described below. Please read this policy carefully before making a purchase.

2. Free Trial

Vaidant offers a free trial period for new clinics. No payment is collected during the trial. You may cancel at any time before the trial ends without any charge.

If you do not cancel before the trial period ends, your subscription will automatically convert to a paid plan and you will be billed accordingly.

3. Monthly Subscriptions

Monthly subscriptions are billed at ₹1,499 per month (Pro plan) or ₹1,999 per month (Premium plan), inclusive of applicable GST. Once a billing period has started, monthly subscription fees are non-refundable.

If you cancel a monthly subscription, access to the platform continues until the end of the current billing period. No further charges will be made after that date.

4. Annual Subscriptions

Annual subscriptions are billed at ₹14,999 per year (Pro plan) or ₹19,999 per year (Premium plan), inclusive of applicable GST.

Within the first 30 days: If the platform does not meet your needs, you may request a prorated refund for the unused portion of your annual subscription. The refund will be calculated based on the number of full months remaining from the date of your cancellation request.
After 30 days: Annual subscriptions are non-refundable. You will retain access to the platform for the remainder of the subscription year.

To request a refund on an annual subscription, email contact@vaidant.io within 30 days of your purchase date with your registered clinic name and reason for cancellation.

5. How to Cancel

You can cancel your subscription at any time from your clinic's account settings page within the Vaidant platform. Cancellation takes effect at the end of the current billing period — you will not be charged again after cancellation.

Alternatively, you may email contact@vaidant.io and our support team will process your cancellation within one business day.

6. Your Data After Cancellation

After your subscription ends, your clinic's data — including patient records, appointments, treatment plans, and billing history — is retained for 90 days. During this window, you may contact us to export your data in full.

After 90 days, all data associated with your account is permanently and irreversibly deleted from our systems. We strongly recommend exporting your data before your account is closed.

7. Non-Refundable Circumstances

Refunds will not be issued in the following cases:

Monthly subscriptions, once the billing period has commenced
Annual subscriptions cancelled after 30 days from the purchase date
Accounts suspended or terminated due to a violation of our Terms of Service
Failure to cancel before an auto-renewal date
Partial use of the platform during a billing period

8. Refund Processing

Approved refunds are processed via the original payment method (Razorpay) within 7–10 business days. The exact time for the funds to appear in your account depends on your bank or card issuer.

You will receive an email confirmation once your refund has been initiated.

9. Pricing Changes

We may revise subscription pricing with at least 30 days' notice communicated via email. If you do not agree to the updated pricing, you may cancel your subscription before the change takes effect and will not be charged at the new rate.

10. Disputes

If you believe a charge was made in error, please contact us at contact@vaidant.io within 14 days of the charge. We will investigate and respond within 3 business days.

This policy is governed by the laws of India. Any unresolved disputes are subject to the exclusive jurisdiction of the courts of Ahmedabad, Gujarat, India.
